Measurement Systems Limited is committed to protecting your personal data. This policy explains what information we collect, how we use it and your rights under the applicable data protection law in Kenya, Uganda, Rwanda and Malawi and applicable data protection principles.

Measurement Systems Limited is headquartered in Kenya and operates through subsidiaries in Uganda, Rwanda and Malawi, supporting customers across the region under one coordinated group standard.

1. Data We Collect

Identity & Contact Data

Full name, email address, phone number, company name, job title and physical/postal address. Collected when you place an order, request a quote or contact us.

Location Data

Country, city and region of operation. Used to determine applicable delivery zones, import documentation requirements and regional pricing.

Purchase History

Records of equipment purchased, service requests, calibration history and hire transactions. Retained for warranty management and regulatory compliance.

Technical Usage Data

Website interaction data collected via cookies (browser type, pages visited, session duration). See our Cookies Policy for details.

2. How We Use Your Data

Order Processing: To fulfil purchases, arrange delivery and manage warranties.
Technical Support: To provide after-sales support, calibration reminders and service records.
Product Updates: With your consent, to notify you of new products, firmware updates and relevant technical bulletins.
Legal Compliance: To meet our obligations under applicable tax law, customs regulations and export controls in Kenya, Uganda, Rwanda and Malawi.
Business Analytics: Aggregated, anonymised data used internally to improve our service offering.

3. Marketing Communications

We will only send marketing communications (product promotions, event invitations, newsletters) if you have actively opted in. You may withdraw consent at any time by clicking "unsubscribe" in any marketing email or contacting us directly.

4. Data Sharing

We do not sell, rent or trade your personal data to any third party.
Data may be shared with manufacturer authorised service centres (SinoGNSS, Suzhou FOIF, Toknav, Topcon, Reed Instruments, Muya, Bosch, Dewalt) solely to process warranty claims on your behalf.
Logistics providers receive name and delivery address data necessary to complete deliveries.
Government authorities may receive data where required by law.

5. Data Retention

Transaction records retained for 7 years, or the period required by applicable tax and accounting regulations in the relevant country.
Warranty records retained for the duration of the warranty period plus 2 years.
Marketing consent records retained until consent is withdrawn.
Website analytics data retained for 24 months.

6. Your Rights (applicable data protection law in Kenya, Uganda, Rwanda and Malawi)

Right to access your personal data held by us.
Right to correction of inaccurate data.
Right to deletion (where not overridden by legal retention requirements).
Right to object to processing for direct marketing.
Right to data portability in a machine-readable format.
