This Data Policy explains in practical terms how Measurement Systems Limited uses the data generated by your purchase, equipment servicing and interaction with our website, and your rights under applicable data protection laws in Kenya, Uganda, Rwanda and Malawi.

Measurement Systems Limited is headquartered in Kenya and operates through subsidiaries in Uganda, Rwanda and Malawi, supporting customers across the region under one coordinated group standard.

Equipment Purchase Data

When you purchase equipment from us, we record the following and hold it for the period stated:

• Equipment model, serial number and purchase date — retained for warranty management and calibration scheduling.
• Invoice and payment records - retained for 7 years, or the period required by the relevant tax authority in the country of transaction.
• Delivery address and contact details — used for delivery and after-sales follow-up.

Service & Warranty Data

• Service job records (fault reported, work done, parts used, engineer assigned) are maintained to support future service visits and warranty assessments.
• Calibration records are maintained to generate calibration due-date reminders.
• Warranty claims data is shared with the relevant manufacturer authorised service centre for processing. No other personal data is shared with manufacturers.

Marketing Communications

• We send product announcements, technical bulletins and promotional offers only to customers who have opted in.
• Opt-in is collected at the point of purchase or via our website newsletter signup.
• You may opt out at any time by clicking "unsubscribe" in any email or by emailing sales@measurementsystems.org.
• Opting out of marketing does not affect transactional communications (order confirmations, delivery notifications, calibration reminders).

Data Shared with Authorised Service Centres

For warranty and repair claims, we share the following data with manufacturer-authorised service centres (SinoGNSS, Suzhou FOIF, Toknav, Topcon, Reed Instruments, Muya, Bosch, Dewalt):

• Equipment serial number and purchase date
• Fault description and service history
• Your contact name and email (for service centre communications only)

This data is shared under data processing agreements that restrict its use to warranty and repair purposes only.

Website & Cookie Data

• Website analytics data (pages visited, session duration, browser type) is collected via Google Analytics and used exclusively to improve website usability.
• No website analytics data is linked to individual customer identities.
• Cookie preferences are respected in accordance with our Cookies Policy.

Data Protection Compliance

Measurement Systems Limited processes personal data in compliance with applicable data protection laws in Kenya, Uganda, Rwanda and Malawi. Our Data Controller details are available on request.
